These are the emails you'll send repeatedly as a UGC creator. Instead of writing each one fresh, copy these templates, fill in the brackets, and adapt the tone to your voice.
Covered here: cold outreach, brief confirmation, delivery, revision handling, payment follow-up, and retainer proposals.
1. Cold Outreach to a Brand
Subject: UGC content for [Brand Name] — quick question
Hi [Name / Hi there],
I'm a UGC creator based in Nigeria focused on [skincare / fintech / food — your niche]. I've been following [Brand Name] and noticed your content is [predominantly polished brand creative / mostly static photos / heavy on text posts] — which is a strong foundation, but authentic UGC-style content tends to outperform it in paid ads and drive stronger organic engagement.
I create short-form vertical video content that brands use for Instagram and Facebook ads, organic feed, and product pages. Recent portfolio: [Link]
A few content types I'd be well-suited to create for [Brand Name]:
- [Specific idea 1]
- [Specific idea 2]
Happy to send a full rate card. Would you be open to a quick conversation this week?

Hi [Name],
I've sent two previous messages about the outstanding balance of ₦[Amount] for the [Brief] brief (delivered [Date], payment due [Date]).
If there's been a processing issue, I'd appreciate a quick confirmation. If payment isn't received by [Date + 7 days], I'll need to escalate this.
[Your Name]
8. Retainer Proposal (After Successful Brief)
Subject: Monthly content arrangement — [Brand Name]
Hi [Name],
Thank you for the feedback on the [recent brief]. I'm glad it hit the mark.
Based on how that went, I'd like to propose a monthly arrangement. For brands that need a consistent flow of content rather than one-off briefs, a retainer works out better for both sides — more predictable for you, and I can learn your brand voice over time.
What I'm proposing:
| Tier | Monthly Output | Monthly Rate |
|---|---|---|
| Basic | 4 × 30-sec videos | ₦[Rate] |
| Standard | 8 × 30-sec videos + 4 photos | ₦[Rate] |
Retainer pricing includes a 10–15% discount on per-brief rates. Monthly content is delivered in two batches — mid-month and end of month — so you always have fresh creative.
If this sounds interesting, I can put together a simple one-page proposal. Let me know.

Email Best Practices for UGC Creators
Keep subject lines functional. "[Brand Name] × [Your Name] — [Action]" is better than creative subject lines for business emails. It's easy to search later.
Confirm in writing. Any verbal agreement (WhatsApp call, Instagram DM conversation) should be confirmed via email before work begins. "Just to confirm what we discussed: [details]" is all you need.
Send everything to one inbox. If a brand initiates contact on Instagram, ask them to move to email for the brief and delivery process. Instagram DMs are hard to search and easily missed.
Keep a template folder. Save these templates in a Google Doc or Notion page. Fill in the brackets for each new client.
